Share Screen on Zoom on Mac, Windows and Linux

For Mac OS 10.15 Catalina users

First, you need to give Zoom access for screen recording in order to share the screen. You can do this from ‘System Preferences’. Once in, navigate to ‘Security & Privacy’ then select Privacy and choose ‘Screen Recording’. Check the box that states zoom.us, and you will be good to go further.

Now that you have completed the extra step, it’s common for all (macOS, Windows and Linux).

  1. Join a Zoom Meeting, and Once inside, you can see a Screen Share option in the middle of the bottom menu. Click on it to start. Alternatively, you can directly press ‘Alt + S’ to start with the screen sharing procedure.
  2. After that, you will see options where you can choose to share a complete screen or specific windows of applications that are active. You can choose either of them as per your need.
  3. You will also see an option to share a whiteboard, it’s best suited for lecturers and to be productive during meetings. It will create a blank whiteboard where you can scribble, and that screen will be shared with the participants.
  4. If you switch to the ‘Advanced’ tab, there will be an option to share some portion of the screen. Selecting that would allow you to mark the portion of the screen, and the same will be shared with all the meeting attendees.

Sharing iPhone and iPad Screen on Zoom

Due to some default security standards set by iOS, it takes an extra step to turn on screen sharing feature. One more important thing here is that you need iOS 11 or higher for Screen sharing to work.

  1. First, you need to add a screen recording to the control center. If you have done this before, then move on to the next step. To do that, open up your ‘Settings’ app and navigate to the ‘Control Center’ and select ‘Customize Control’. Now add ‘Screen Recording’.
  2. Now, while you are in a zoom meeting, there will be an option to ‘Share Content’ at the bottom of the screen. Tap on it to open another menu and select ‘Screen’.
  3. There’s one more thing left to do. Now, swipe up to open the control center. After that, tap on the record button and hold it for 3-4 seconds till the dialogue box appears. Select Zoom and now finally press the ‘Start Broadcast’ button. At the countdown of 3, your complete screen will be shared with all the participants.

Sharing Android Screen on Zoom

Unlike other procedures, screen sharing via zoom on Android is a piece of cake. There are no extra steps and is pretty straightforward.

  1. When you are in a Zoom meeting, there will be a menu displayed on the bottom. From that, select ‘Screen Share’. Now select ‘Screen’ or ‘Whiteboard’ as per your choice.
  2. After that, a confirmation prompt will appear, asking if you want to share your screen with others. Tap on ‘Start Now’.
  3. Your Zoom screen will be minimized, and a small control box will appear on the bottom left of your Android screen.

Do note that while sharing a screen on Android, the internal audio will not be transmitted, but your mic is always active. Additionally, with the control box, you can annotate and end the screen sharing.

You can use Presenter View in PowerPoint to present in Zoom even if you only have one screen. It uses a feature that was introduced in PowerPoint a few years ago called Presenter View preview and may only be available in modern versions of PowerPoint. This allows you to see what Presenter View looks like even though you only have one screen. This method also uses a feature of Zoom that shares a portion of your screen instead of the full screen. Here’s how you do this in a Zoom meeting.

Set up your presentation for Presenter View

Make sure that the presentation is set to display in the default of full screen Slide Show. On the Slide Show ribbon, click on the Set Up Slide Show button. In the dialog box, make sure the Show type is set to “Presented by a speaker (full screen)”.

Start Presenter View Preview

In PowerPoint, press Option+Return to start Presenter View preview at the current slide. You will see Presenter View on your screen with the slide, your notes, what the next slide/build will be, and a filmstrip of slides at the bottom of the screen.

Presenter View takes up the whole screen, so you will not see the controls for your Zoom meeting. If you want your notes to be in a larger font, use the font controls at the bottom of the Notes section to make the text bigger.

Share a portion of the screen in Zoom

To return to the Zoom meeting controls, press Command+Tab to move through the open apps to select the Zoom meeting app.

In the Zoom sharing dialog, go to the Advanced tab and select the Portion of a Screen option.

You will see a green rectangle on your screen. Use the vertical dividing line in Presenter View to make the size of the current slide larger. Use the sizing handles on the green Zoom sharing rectangle so that it only shows the current slide. Do this before others arrive in the Zoom meeting room so they don’t see you adjusting the display.

Make sure the focus is on the Presenter View screen by clicking on the arrow button in Presenter View to check that the slides advance. Then you can use the arrow keys to advance the slides during your presentation. You have access to all of the other regular Presenter View features such as laser pointer or drawing on the slide.

When you are done the presentation, stop sharing the portion of your screen in Zoom.
